Student Guide on how to complete the ANU Travel Approval e-Form

Anyone travelling outside the ACT, either domestically or internationally must, complete the ANU Travel Approval e-Form. This ensures that the ANU knows the whereabouts of students (and staff) at all times whilst travelling away from Canberra.

Please note that for the following programs, the ANU travel form will be completed as part of the program application:

ANU Role

  • Select ‘Student’ from drop down box.

Travel Dates

  • Travel Date From: the date you leave home (or date of first visit*)
  • Travel Date To: the date you return home (or date of last visit)
    • If your placement is in the form of a regular visit to a set location (e.g. a fortnightly trip to a prison) use the date of your first visit as “Travel Date From” and your last day as “Travel Date To”
  • Brief Trip Description
    • Briefly, state the purpose of the travel.
    • Examples

      • Attending LAWS4301 Myanmar Law Clinic in Myanmar for three weeks followed by one week of private travel.
      • Approved study abroad at the London School of Economics for an overseas course for credit towards my LLB.
      • Undertaking an internship with a law firm in Brisbane.
      • Undertaking an internship in Broome for nine weeks and having a holiday whilst I’m there.

    Acknowledgement – pre-existing medical conditions

    • If you have a pre-existing medical condition you wish to declare for insurance, please obtain a fit to travel letter from your GP detailing your pre-existing condition has been noted and approval has been given for travel.
    • This letter then needs to be emailed to the ANU Insurance Office.

    Purpose of Travel

    • Check any appropriate travel purposes
      • Select ‘Other’ and write the course number as the purpose of travel. (e.g. LAWS4230).
    • Purpose of Travel
      • Summarise the purpose of travel, including the course code if applicable.
      • Examples

        • Self-arranged internship in Sydney LAWS4320
        • LAWS4268 Community Law Clinic
        • LAWS4301 Law and Development Clinic

    Travel Plan

    For insurance purposes, we need to know your point of origin and destination. Therefore, your form should have a minimum of 3 segments.

    1. Travel Segment 1: Travel Type: Transit Day - 1-2 days.
    2. Travel Segment 2: Travel Type: Business - Length of your internship/ mooting competition / field trip.
    3. Travel Segment 3: Travel Type: Transit Day - 1-2 days.

      Personal Travel

      • The ANU Travel Insurance and ANU Travel Policy allow students to take an additional 30% of personal travel along with the ANU related activity (e.g. for a 10 day placement, students can include an extra 3 day for personal travels).
      • Any personal travel exceeding the 30% allowance will NOT be covered under ANU travel insurance, but should still be included on the travel form.
      • Students are required to get private travel insurance for the portion that is not covered by ANU travel insurance.

    • Estimated Greenhouse Gas Emissions: Type "0"

    Per Diem Payment Request

    • Select "0"

    Emergency Contact

    • Please enter the most relevant phone and email address for us to contact you while travelling.
    • Under “Other Instructions” feel free to let us know of other means of communication, for example a relevant social media handles, Whatsapp ID, etc.
    • This is also a good opportunity to ensure that your contact details are up to date in ISIS

    Travel Budget

    • Funding Source : privately funded (even if you are receiving NCP or OS-HELP funds)
    • Private Travel Funding : you can enter $0
    • If you are receiving a travel grant or bursary, please enter the name or your financial award under "Funding Comments', otherwise leave blank. 

    Supporting Documentation

    • The College will upload the WHS risk assessment on your behalf. 
    • You can attach other documentation relevant to your trip.
